We are seeking a highly organized, proactive Tax Operations Coordinator to support the operational backbone of a growing US-based tax practice. You will ensure seamless workflow execution by processing tax documentation, tracking case progression, managing task assignments, reviewing IRS correspondence, and preparing clean file packages for tax professionals. This role is ideal for dependable self-starters who thrive in organizational operations, possess sharp problem-solving skills, and take pride in process efficiency behind the scenes.
Your Impact
Tax Workflow & Queue Management: Monitor workflow queues, create extension tasks, track outstanding signatures/documents, and update database records to maintain steady case progression.
Tax Document Processing & IRS Review: Organize incoming client tax files, review IRS Wage and Income transcripts, identify priority IRS notices, and assist with basic IRS forms and compliance follow-ups.
Administrative & Department Support: Maintain organized electronic records, coordinate internal scheduling, support departmental audits, and assemble tax file packages so client-facing professionals can focus on advisory and engagement.
Process Improvement & Optimization: Identify operational bottlenecks, recommend workflow enhancements, and assist in implementing best practices and new software system rollouts.
Team Collaboration & Confidentiality: Partner closely with onshore tax professionals and local team members, ensuring strict adherence to documentation standards, productivity metrics, and client data confidentiality.
What You Bring
The Experience: 1 to 3 years of experience in administrative, operations, or office support—preferably within tax, accounting, legal, banking, or financial services. Prior Executive Assistant experience or exposure to US individual tax returns (Form 1040) is a strong advantage (training provided).
Credentials & Education: Associate’s or Bachelor’s degree in Business Administration, Accounting, Finance, or a related commercial field (or equivalent work experience).
Software & Technical Competency: Proficiency in Microsoft Office Suite (Excel, Word, Outlook), comfort navigating databases and cloud workflow portals, and a typing speed of at least 40 WPM.
Operational Capabilities: Exceptional organizational habits, sharp attention to detail, strong problem-solving skills, and the ability to manage multiple priorities independently in a fast-paced environment.
Communication & Shift Alignment: Excellent written and verbal English communication skills, dependable attendance, and complete commitment to working in US business hours (PST night shift) onsite at our office.
