We are seeking a meticulous and experienced Payroll Specialist to join our team in a critical, high-ownership role. In this position, you will be responsible for managing the accurate and timely processing of global payroll across multiple countries and time zones, ensuring full compliance with applicable laws, internal policies, and industry best practices. This role is well-suited to a seasoned payroll professional who thrives in deadline-driven environments, possesses strong analytical capabilities, and brings a customer-service mindset to every interaction.
Your Impact
Global Payroll Execution: Process bi-weekly, semi-monthly, and monthly payroll for all employees across multiple countries, ensuring accuracy and timeliness in alignment with local requirements and internal deadlines.
Data Integrity Oversight: Review, audit, and validate payroll data including timesheets, benefit deductions, commissions, bonuses, and other compensation inputs to maintain the highest standards of accuracy.
Lifecycle Transactions Management: Ensure timely and accurate processing of new hires, terminations, pay changes, bonuses, commissions, and all other compensation-related actions throughout the employee lifecycle.
Records Custodianship: Maintain and update payroll records in the HRIS and/or payroll system with the utmost level of confidentiality and data integrity at all times.
Cross-Functional Collaboration: Partner closely with the People and Accounting teams to ensure the proper flow and maintenance of employee data and payroll accounting across the organisation.
Reconciliation and Reporting: Reconcile payroll outputs, resolve discrepancies, and ensure accurate funding and reporting in a thorough and timely manner.
Employee Support Excellence: Address employee inquiries related to payroll, compensation, and tax documentation with professionalism, accuracy, and a commitment to timely resolution.
Year-End Compliance Leadership: Own and lead tax reporting and year-end payroll processes, ensuring full accuracy and compliance, including the preparation and distribution of W-2s or equivalent documentation.
Regulatory Adherence: Ensure ongoing compliance with all applicable wage and hour laws, including FLSA and state-specific requirements across all jurisdictions served.
Audit Support: Assist with internal and external audits by providing comprehensive documentation, reports, and payroll records as required.
Analytical Reporting: Generate and deliver ad hoc payroll reports, analysing data to support audits, compliance requirements, and informed management decision-making.
Onboarding Assistance: Serve as a backup and assist with employee onboarding activities as needed, ensuring a smooth, accurate, and compliant new hire experience.
Regulatory Intelligence: Stay abreast of changes in international payroll laws, tax codes, and employment regulations, and proactively recommend compliance updates and process improvements.
What You Bring
Seasoned Payroll Expertise: A minimum of 5 years of experience in payroll processing or a closely related role, demonstrating a high degree of autonomy and professional ownership.
Multi-Country Payroll Acumen: Preferred working knowledge of multi-country payroll processes spanning jurisdictions such as the US, Canada, Costa Rica, the UK, Germany, and Australia.
Systems Proficiency: Demonstrated experience with payroll software platforms such as ADP, UKG, Workday, or similar systems, as well as HRIS platforms.
Precision and Diligence: A high degree of accuracy and diligence in handling sensitive financial and personal employee data, with an unwavering commitment to data security.
Analytical Rigor: Strong analytical and critical thinking skills, with the ability to identify discrepancies, assess root causes, and implement effective resolutions.
Deadline-Driven Discipline: Proven capacity to manage and consistently meet recurring payroll deadlines — monthly, bi-weekly, and quarterly — across multiple countries with efficiency and accuracy.
Confidentiality and Integrity: A demonstrated ability to handle confidential information with the highest level of integrity, discretion, and professionalism.
Excel Mastery: Advanced Microsoft Excel skills, including proficiency in VLOOKUPs, pivot tables, and other data management functions essential to payroll analysis and reporting.
