We are looking for a process-driven Business Support Administrator to deliver accurate, timely, and efficient administrative and transactional support to our international farm operations. This role operates under a structured hybrid model where Mondays are designated as a work-from-home (WFH) day, and the remainder of the week is spent working onsite at our modern office facility. The role focuses on weekly inventory management, processing purchase orders and invoices through the Coupa system, receipting goods, and producing routine operational reports, including labor reporting.

 

Your Impact

  • Inventory Management: Maintain and update weekly inventory records with a high level of accuracy. Monitor stock movements, ensure inventory balances are reconciled regularly, and actively investigate and resolve discrepancies in collaboration with relevant stakeholders.

  • Procure-to-Pay Processing (Coupa System): Process purchase orders and supplier invoices through the Coupa system in a timely manner. Ensure all invoices are accurately matched to purchase orders and supporting documentation while managing queries and following up on outstanding approvals.

  • Goods Receipting: Accurately receipt goods in the system in line with physical deliveries and supporting documentation. Liaise directly with farm operations to confirm the receipt and condition of goods to support immediate financial and inventory accuracy.

  • Operational Reporting: Prepare and distribute regular operational metrics, including Weekly Labor Reports along with inventory summaries and movement reports. Ensure all reporting outputs are complete, accurate, and delivered within strict timeframes.

  • Stakeholder Collaboration: Partner closely with Management Accountants to ensure seamless financial reporting. Collaborate with the local Cebu finance team to maintain processing consistency and support effective workflows between offshore and onshore teams.

  • Process Transition & Continuous Improvement: Participate in critical knowledge transfer activities with the Australian team during the transition period. Document standard operating procedures (SOPs) and identify automation or standardization opportunities.

  • Transition Leadership & Adaptability: Navigate the challenges of a newly offshored function by taking proactive ownership of workflows, absorbing knowledge efficiently from the onshore Australian team within limited hand-over timelines, and maintaining absolute data integrity while processes, Coupa system implementations, and upcoming payroll platforms stabilize.

 

What You Bring

  • The Experience: Prior experience in an administrative, finance support, accounts payable, or operations support role. Exposure to inventory tracking or transactional reporting within agriculture, manufacturing, supply chain, or shared services environments is highly desirable.

  • System Toolkit: Strong proficiency in Microsoft Excel (data entry, basic formulas, data reconciliation). Practical familiarity with purchase order processing workflows and ERP/procurement systems like Coupa, SAP, or Oracle is a major plus.

  • Analytical Precision: The capability to produce clear, error-free routine reports and accurately process high volumes of financial transactions with sharp attention to detail.

  • The Mindset: High learning agility and accountability. You take complete ownership of your tasks, absorb new workflows quickly, maintain professional integrity when handling financial data, and easily adapt as processes stabilize.
