We are looking for a detail-obsessed Bookkeeper to join a dynamic, multi-channel business and keep its financial engine running like clockwork. From daily Accounts Receivable and Payable processing to month-end reconciliations across multiple platforms and currencies, you'll be the financial backbone ensuring accuracy, timeliness, and smooth cash flow. If you love clean books, clever systems, and collaborating with a fast-moving team, this role was built for you.

 

Your Impact

  • Cash Flow Commander: Process all incoming payments via Shopify, Stripe, and bank transfers for Wholesale customers, handling both Shopify and QuickBooks entries to keep the money moving without a hitch.

  • Credit Note Ninja: Allocate Credit Notes to invoices accurately in QuickBooks Online, match refund transactions, void invoices where required, and keep Shopify wholesale credits squeaky clean.

  • Supplier Invoice Whisperer: Code and enter all supplier invoices from the Purchasing & Logistics Coordinator in QBO, confirm staff expense reimbursements are documented, and keep Accounts Payable spotless.

  • Bank Wrangler: Review and categorize bank downloads across MasterCard, AMEX, Savings, Offset, Loan, and Transactions accounts—matching every line with precision.

  • Ageing Report Ace: Produce weekly A/P and A/R Ageing Reports for Director review, issue the Customer On-Hold List every Monday, and proactively flag overdue accounts before they become a problem.

  • Statement Strategist: Send fortnightly Wholesale Customer Statements alternating between chasing unpaid invoices and reminding customers to apply for open credit, preventing missed offsets and duplicate refunds.

  • Forex Reconciler: Reconcile Forex clearing accounts (Tasman, Xe.com) and credit card accounts (AMEX, MasterCard) weekly and monthly, following a strict order of operations to eliminate rework.

  • Month-End Maestro: Execute a structured month-end close covering A/R, A/P, clearing accounts (Shopify, Stripe, Afterpay, ZipPay), bank and loan accounts, and the CBA Transaction Account—in the right order, every time.

  • Reporting Rockstar: Submit a full P&L and Balance Sheet by the third week of the following month, deliver a detailed Marketing Expenses report, and file all reconciliations in shared folders for audit readiness.

 

What You Bring

  • Technical Mastery & QBO Expertise: Advanced QuickBooks Online experience including multi-platform clearing account management, batch invoice processing, and reconciliation across complex account structures.

  • Platform Polyglot: Solid hands-on knowledge of Cin7, Shopify, and payment systems including Stripe, Afterpay, and ZipPay. You know how data flows between these platforms and how to catch errors.

  • Excel Enthusiast: Strong Excel skills for cross-platform reconciliations, report building, and data comparisons between Cin7 and QBO.

  • Forex Familiarity: Experience managing multi-currency payables and reconciling Forex clearing accounts with Tasman and Xe.com arrangements.

  • The Mindset: A detail-oriented, process-driven, and methodical approach to month-end close workflows. You follow the exact order of operations, document your work, and maintain compliance under deadlines.

  • Error Spotter: A proactive eye for duplicate transactions, misallocated entries, and clearing account discrepancies, fixing problems before they compound.

  • Team Communicator: Clear, confident communication skills with cross-functional teams, including Wholesale, Purchasing & Logistics, and senior leadership.
