We are seeking a highly organized, detail-oriented Accounting Coordinator to support core accounts payable operations, retail cash controls, and month-end close functions for a fast-paced US business. Working directly with the Controller, you will manage end-to-end invoice coding, ACH payment batches, retail vault reconciliations, sales tax lodgments, and departmental administrative support.
Your Impact
Accounts Payable & Vendor Management: Manage the central AP email inbox, accurately enter and code vendor invoices, oversee retail rent and Amazon Business purchases, process employee reimbursements, maintain vendor records, and prepare ACH payment batches for Controller approval.
Retail Cash Controls & Banking Operations: Perform initial bank transaction coding for retail entities, process retail sales tax payments, and oversee the weekly Retail Vault Count process—verifying store manager submissions, reviewing documentation accuracy, and escalating cash handling discrepancies.
Month-End Close & Financial Reporting Support: Assist with month-end close activities adhering to departmental checklists, gather balance sheet reconciliation workpapers, and organize documentation requested by external accountants and auditors.
Administrative & SOP Support: Maintain audit-ready electronic files in SharePoint/OneDrive, assist the Controller with calendar and deadline tracking, maintain department checklists, and help draft Standard Operating Procedures (SOPs).
What You Bring
Education & Experience: Bachelor’s Degree in Accounting, Finance, Business, or related field; 1 to 2 years of solid bookkeeping, accounting, accounts payable, or office administration experience supporting US business structures.
Software Competency: Proficiency in QuickBooks Online, ERP platforms, or specialized accounting software, alongside strong Microsoft Excel and Office 365 skills.
Accounting Acumen: Solid foundation in basic GAAP accounting principles, internal cash/disbursement controls, invoice matching, and retail sales tax fundamentals.
Core Competencies: Exceptional organizational and time management skills, strong analytical curiosity, discreet handling of confidential data, and excellent written and verbal English communication.
