Location: Clark, Manila, Tarlac or Cebu, Philippines 

Shift: Monday – Friday | 7:00 AM – 4:00 PM PHT 

Salary Range: Php 32,000 – Php 44,000

As a Junior Executive Assistant, you will provide high-level administrative and operational support to Partners, Directors, and senior leaders within a top-tier Australian accounting firm. This role is tailored for a strategic, detail-oriented professional who excels in managing complex schedules, high-priority client communications, and confidential workflows. Acting as a vital extension of the executive team, you will ensure smooth daily operations, monitor compliance deadlines, and uphold exceptional client service standards across international accounting practices. 

 

Your Impact 

  • Executive & Calendar Management: Provide comprehensive C-suite support, managing complex calendars, appointments, confidential communications, travel bookings, detailed itineraries, and expense reporting for Partners and senior leaders.

  • Meeting & Document Coordination: Coordinate internal and external meetings by preparing agendas, documenting minutes, tracking action items, and reviewing key financial documents, engagement letters, tax files, and proposals. 

  • Workflow & Practice Management: Maintain organized digital filing systems using industry-leading tools like XPM, FYI, Karbon, or MYOB AE, while managing executive inboxes and prioritizing high-volume tasks. 

  • Compliance Tracking: Monitor statutory deadlines for BAS, IAS, and tax return lodgments, collaborating with internal bookkeepers, accountants, and external clients to gather required documentation on time. 

  • Onboarding & Operations: Support operational performance through monthly reporting, deadline tracking, cross-team coordination, and leading new-hire onboarding processes.

  • Client & Stakeholder Engagement: Act as a primary liaison for clients and key stakeholders, displaying exceptional judgment, professionalism, and proactive problem-solving to resolve queries quickly. 

 

What You Bring 

  • The Experience: At least 3 years of experience in an Australian accounting firm, with a proven track record of supporting C-suite executives, Partners, or Directors. 

  • Technical Mastery: High proficiency in Microsoft 365, SharePoint, and workflow tools. Direct experience with platforms such as Xero Practice Manager (XPM), MYOB AE, Karbon, or FYI is strongly preferred. 

  • Operational Discipline: Advanced organizational, prioritization, and multitasking abilities with a high attention to detail, accuracy, and process improvement leadership. 

  • Strategic Awareness: Strong judgment, discretion with confidential information, and the adaptability to lead workflows in a fast-paced environment. 

  • Communication Prowess: Superior written and verbal English communication skills, essential for managing executive communications and building relationships across all organizational levels.
