We're looking for an Intermediate Bookkeeper who doesn't just process transactions—they own them. In this role, you will be deeply embedded with a client-facing Australian accounting firm, keeping Xero running clean and current every single day. From end-to-end AP processing and daily bank reconciliations to payroll, superannuation management, and BAS preparation, you will be the core engine behind accurate, timely financial reporting. If you are a Xero expert who operates autonomously, raises ledger queries in real time, and never leaves a job half-done, this role was written for you.

 

Your Impact

  • Pay It Right & Payee Trust Gatekeeper: Process weekly accounts payable using Xero batch payments and ABA files, manage BPay transactions through bank portals, and prepare AP approval worksheets. Verify all new payee ABNs via the Australian Business Register (ABR) and immediately flag bank detail changes to the SFO Director for explicit sign-off before executing funds.

  • Xero, All Day Every Day: Run daily and weekly cloud bookkeeping cycles across assigned portfolios—ensuring transactional coding, complex bank reconciliations, and source document attachments are completed in real time rather than piling up at month-end.

  • Details That Drive Decisions: Apply precise account allocations and write meaningful transaction descriptions in Xero, establishing a highly accurate data layer that powers management reporting, tax compliance, and advisory conversations.

  • Rules Are a Starting Point: Manually review and verify all bank rule auto-coded transactions before acceptance—ensuring system automation assists processing without dictating accuracy.

  • Entities in Harmony: Code inter-entity transactions consistently across interrelated business structures; ensuring that if a transaction is processed as a loan in one entity, it is perfectly mirrored in the other.

  • Query, Don't Stockpile: Maintain a live query list and proactively raise processing issues as they arise—resolving documentation gaps immediately rather than holding questions until month-end.

  • Payroll Done Properly: Execute monthly payroll schedules, verify pre-payroll setups (including superannuation rates, tax scales, and leave configurations), generate ABA files, confirm Single Touch Payroll (STP Phase 2) lodgments, and monitor Xero super batches through to Processed status with evidence archived in FYI Docs.

  • BAS Without the Drama: Prepare monthly BAS and IAS files by the 19th of the month. Reconcile GST balances and PAYG withholding liabilities to Xero via Excel working papers, manage digital client signing via Annature, and drive lodgment through to confirmation.

  • Finish What You Start: Take complete technical ownership of every assignment from end to end—ensuring data is coded, accounts are reconciled, source documents are attached, files are saved in FYI, and task statuses are updated before shifting focus.

 

What You Bring

  • The Experience: Minimum 2 to 3 years of hands-on bookkeeping experience within an Australian public accounting firm. You possess a thorough understanding of how Australian practices operate and know exactly what corporate clients expect.

  • Xero Expert, Full Stop: Active Xero Certification with expert-level command over reporting tools, efficiency modules, advanced bank rules, batch payments, and ABA file generation mechanisms.

  • XPM & Platform Fluency: Solid working knowledge of Xero Practice Manager (XPM) and how job management links with document workflows. Experience with FYI Docs and digital signatures via Annature is strongly preferred.

  • Payroll & Superannuation Veteran: Current, practical experience handling Xero Payroll, setting up employee profiles, managing STP compliance, and seeing electronic superannuation batches through to final bank settlement.

  • BAS-Ready Technicality: Demonstrated capability to prepare business activity statements and installment activity statements, including full GST reconciliation back to the primary balance sheet.

  • Banking Platform Savvy: Practical experience processing BPay batches through merchant banking platforms, validating biller codes directly from source invoices, and maintaining secure payee address books.

  • SOP Self-Starter: Fully capable of interpreting complex written Standard Operating Procedures (SOPs) and checklist task lists to drive clean production results without needing step-by-step verbal guidance.

  • Proactive Communication: A professional who communicates early and raises clear, technical queries in real time the moment a ledger entry or invoice does not mathematically add up.
