Your Impact
First Voice Forward & Message Master: Answer and manage incoming business calls professionally, serving as a polished front-line representative for Australian clients and stakeholders. Screen, prioritize, and relay messages, escalating urgent matters so critical updates are captured.
Action Item Ace & Follow-Up Force: Capture key points and actionable deliverables from calls and meetings, communicating next steps clearly to team members. Follow up on task completion across the business to maintain team accountability and keep projects on track.
Calendar Commander: Own the executive's calendar by managing appointments, overlapping schedules, and reminders with absolute precision so their day runs like clockwork.
Wordsmith on Demand: Draft polished emails, business correspondence, meeting summaries, and simple corporate reports that reflect the executive's voice and professional standards.
Digital Organizer: Maintain clean, well-structured digital records, file repositories, and documentation within cloud environments so vital information is always instantly accessible.
AI Power User: Leverage cutting-edge tools—including Microsoft Copilot, Claude, Cowork Agent, Zapier, and Make—to draft communications, summarize calls, automate repetitive data tasks, and continuously level up workflow efficiency.
What You Bring
The Experience: Minimum 3–5 years of experience as a Virtual Assistant, Executive Assistant, or in a similar corporate support role, with hands-on experience managing inbound and outbound business calls.
International Edge (Preferred): Prior experience supporting Australian or international clients is highly preferred. You understand Western business etiquette, cultural nuances, and service expectations.
Tech Stack Savvy: Strong proficiency across the Microsoft 365 Suite (Outlook, Teams, Word), paired with working familiarity with AI platforms and low-code automation tools to build smart digital workflows.
Communication Excellence: Elite spoken and written English, complete with clear, professional phone etiquette and strong active listening skills that make every interaction count.
Detail-Driven Independence: Meticulous attention to detail, exceptional time management, and the proven ability to follow complex instructions and work independently with minimal supervision.
Discretion & Integrity: Proactive, dependable, and discreet—you handle sensitive corporate information with the utmost integrity and bring a proactive customer-service mindset to your daily tasks.
