At TOA Global, we have a deep commitment to empowering individuals to excel in their enterprises, careers, and communities. Our global footprint stretches across Australia, New Zealand, North America, and the Philippines, supporting our global clients in the accounting and specialized professional operations industries.

We are seeking a highly organized and proactive Key Accounts Administrator to drive operational excellence within our specialized property and asset management division. This role is designed for a detail-driven administrative professional who thrives on managing complex client portals, monitoring critical service level agreements (SLAs), and keeping multi-channel workflows running seamlessly. Working onsite at our modern Clark facility, you will act as a vital communication hub, translating technical service data into clear, build-ready records that maintain absolute client compliance.

Your Impact

Portal Management, Compliance & Data Accuracy

  • Documentation & Audit: Upload and maintain vital service documentation, ensuring all service evidence is complete, accurate, and completely aligned with internal systems.

  • Record Integrity: Review client portals and internal system records to proactively catch and flag asset, service, reporting, or invoicing inconsistencies.

  • System Correction: Support the correction of administrative errors, maintaining all business records in accordance with strict client requirements.

SLA Monitoring & Portfolio Performance

  • Performance Tracking: Monitor Service Level Agreement (SLA) performance across service, repair, compliance, and reporting activities.

  • Risk Escalation: Track open, overdue, and at-risk work orders, escalating data gaps or items that could impact client expectations to management.

  • Reporting Assistance: Prepare comprehensive performance summaries, assist with monthly reporting/invoicing preparation, and review work-in-progress (WIP) items to support corrective actions.

Workflow Administration & Stakeholder Coordination

  • Operations Support: Support quote, defect, repair, and service workflow administration while assisting with booking coordination for recurring compliance obligations.

  • Communication Hub: Coordinate information flows between internal teams and external stakeholders, responding to routine client and site-based inquiries.

  • Account Review Preparation: Collate open action items, overdue works, and SLA updates to prepare information for client collaboration meetings.

What You Bring

  • The Experience: Previous experience in Account Management, Key Accounts Administration, or a closely related field is highly preferred.

  • Industry Knowledge: Strong, functional knowledge of relevant building codes, standards, and regulations pertaining to passive fire protection.

  • Software Proficiency: Proficient in using technology for task management and reporting, with specific experience in Uptick or similar operational software.

  • Communication Skills: Excellent written and verbal English communication skills, with a natural ability to liaise professionally with diverse clients and internal teams.

  • Core Competencies: Self-motivated, highly organized, and capable of working independently to manage multiple administrative tasks simultaneously.

  • Mobility: A valid driver's license and a willingness to travel to various sites as required by the business.
