We are on the lookout for a sharp, deadline-driven Proposal Administrator to join our fast-paced team. In this role, you will be at the heart of new business development—crafting compelling, technically precise proposals and pitches that win clients. From Requests for Proposals (RFPs) and Statements of Work (SOWs) to executive summaries tailored to each prospect's pain points, your words will open doors. This is a high-volume, high-stakes environment where responsiveness, precision, and persuasive writing are critical. Your Impact
Proposal Powerhouse: Prepare, develop, and produce prospect proposals and pitches—including RFPs, RFQs, Statements of Work, and prospect summaries—using templates and a dynamic content library.
Tool Maestro: Navigate a browser-based proposal generation tool to generate and format polished documents that meet exact specifications and client requirements.
CRM Champion: Use HubSpot to keep project statuses current, ensuring the team always has a clear, real-time view of where every proposal stands.
Format Fanatic: Work your magic in Microsoft Word and export publication-ready documents to Adobe PDF with precision and consistency every time.
Deadline Defender: Manage multiple proposals simultaneously within Monday.com, project-planning your way to on-time, high-quality deliverables—no exceptions.
RFx Decoder: Carefully read and interpret complex RFx documents, extracting requirements and translating them into compliant, persuasive proposal responses.
Research Ranger: Conduct targeted prospect and industry research to inform and tailor proposal content—especially executive summaries that speak directly to a client's challenges and goals.
Collaboration Connector: Maintain clear, proactive communication across proposal and cross-functional teams to keep every project moving forward with momentum.
What You Bring
The Experience & Education: 1–2 years of experience in proposal writing, technical/persuasive B2B writing, editing, marketing, or business development. You hold a Bachelor’s degree in Marketing, Business, Communications, English, or a related field.
English Excellence: Fluency in English well beyond working proficiency, with the ability to write with clarity, persuasion, and professional polish in a B2B context.
Writing Virtuoso: Skilled in technical and persuasive writing—you can shift tone and style to suit the audience while keeping the message tight and compelling.
Jargon Juggler: Ability to read, interpret, and apply complex accounting industry terminology and comply with the strict output requirements of RFQs and related documents.
Word Wizard: Extreme proficiency in Microsoft Word—you know every formatting trick in the book and can make any document look sharp and submission-ready.
Suite Superstar: Proficiency across Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, SharePoint) and comfort working with Adobe Acrobat.
Detail Detective & Deadline Devotee: Highly analytical and meticulous—you catch the errors others miss. You have a proven ability to manage high volumes of work with hard, unforgiving deadlines in a fast-paced environment.
Feedback Forward: A positive, growth-oriented mindset—you welcome feedback as fuel for improvement and bring consistent energy to continuous learning.
Bonus Tools: Familiarity with RFx proposal management platforms (e.g., Loopio, Responsive, Proposify, PandaDoc) and CRM systems like HubSpot or Salesforce is a great advantage.
