We are looking for a process-driven Food Safety Compliance Administrator to provide centralized administrative and documentation support to the Food Safety & Quality (FS&Q) function. Operating under a structured hybrid model where Mondays are designated as a work-from-home (WFH) day and the remainder of the week is spent working onsite at our modern office facility, you will focus on high-volume, process-driven activities to improve efficiency, consistency, and compliance across all operational sites.
Your Impact
Specification Management: Maintain and update retailer and internal product specifications within designated systems. Ensure total accuracy, strict version control, and timely updates while liaising with onshore teams to capture required data modifications.
Approved Supplier Program: Review and track supplier certifications (expiry dates, validity, and completeness). Maintain supplier records, flag documentation gaps or non-conformances to onshore teams, and organize records to ensure complete audit readiness.
Training Material Development: Develop and format clear training materials, presentations, and standard operating procedures (SOPs). Convert complex technical input into user-friendly content while maintaining template, branding, and structural consistency.
Supplier Approval Coordination: Coordinate the collection of vendor questionnaires, declarations, and certifications. Maintain document registers and approval trackers, ensuring full completeness prior to submitting files to onshore compliance and technical teams for final approval.
SEDEX & Ethical Audits: Lead the preparation, coordination, and closeout of SEDEX (SMETA) and other ethical trade audits. Support customer, certification, and regulatory audits through effective planning, evidence collation, and direct liaison with internal and external auditors.
Risk Assessment & Compliance Tracking: Conduct risk assessments across operations covering food safety, quality, hygiene, OH&S, and process risks. Monitor site performance against key FS&Q metrics such as audit scores, non-conformances, and risk trends.
Documentation & Reporting: Maintain accurate, up-to-date documentation across SharePoint and compliance platforms. Prepare performance reports and summaries for internal management and external stakeholders.
Food Safety and Quality Advocacy: Support and comply with all food safety and quality policies. Demonstrate good personal hygiene, maintain equipment, and immediately report hazards, incidents, or near-misses to supervisors.
What You Bring
The Credentials: A Tertiary qualification in Food Science, Quality Management, or a related field is highly preferred.
The Experience: Minimum 1–2 years of experience within a food manufacturing, horticulture, or FMCG environment is required.
Digital Toolkit: Competency in Microsoft Office and digital compliance tools (such as Riskware, iAuditor, or the SEDEX portal), alongside experience navigating SharePoint systems.
Operational Excellence: Strong attention to detail, an analytical mindset, proactive problem-solving, and risk-based decision-making capabilities.
Communication Skills: Excellent communication, documentation, and organizational skills necessary to collaborate with offshore and onshore compliance teams.
